What this policy covers
This portal is a Scholarship Management Information System. It explains how we handle personal data when you log in, submit forms and files, message the office, request reports, or use internship, employment, portfolio, and related features.
Philippine data privacy
We process personal data under Republic Act No. 10173 (Data Privacy Act of 2012) and its implementing rules. Processing is for our legitimate interest as a scholarship-granting foundation and, where required, for the performance of the scholarship relationship and related legal obligations.
Information we collect
- Account details such as username, password (stored hashed), name, contact email and phone, and role (scholar, alumni, staff, or partner).
- Scholarship records, school and program information, case or ID numbers, status, and documents you upload (including alumni credentials when asked).
- Form answers, internships and attendance, employment or tracer details, testimonials, portfolio entries, and document requests.
- Messages you send in the inbox and notices we send you in the portal.
- Technical logs needed to keep the site secure (for example login attempts and session identifiers). We do not run advertising or third-party analytics cookies on this portal.
How we use it
We use the information to run the scholarship program: review submissions, communicate with you, issue reports and letters, coordinate internships with partner companies, keep your account secure, and improve the portal. Staff and partner accounts only see what their role is allowed to see.
Who can see it
Authorized foundation staff, and partner users only for internships or forms assigned to them. We do not sell your data. We may disclose information if Philippine law or a competent authority requires it, or to protect the foundation, scholars, or the public from serious harm.
How long we keep it
We keep scholarship and alumni records for as long as they are needed for the program, audits, and legal retention. Account access ends when your login is disabled. You may ask about deletion or restriction; some records must be kept for the foundation’s lawful purposes.
Your rights
Subject to the Data Privacy Act, you may request access to your personal data, correction of inaccurate data, and information about how it is processed. You may also raise a complaint with the National Privacy Commission. Use the email above for privacy requests. Please name a Data Protection Officer internally and keep this page aligned with that designation.
Security
Access to the portal requires a login. Files are served through authenticated routes. No website can guarantee absolute security; report suspected misuse of your account immediately using the contact details above.
